Tip #1: Reserve the space and Get the Word Out

Whether you send traditional paper invitations, email an evite, or simply call/text your friends there is some basic information that all invitations need.

  • DATE

  • DAY

  • TIME

  • PLACE

Tip #2: Plan the Menu (Including Beverages)

Plan Your cooking schedule:

Determine what can be made ahead and frozen, prepared day before, and prepared that day, and what you are buying already prepared. The Center has a fully stocked galley kitchen complete with serving dishes and utensils. We also have a variety of linens and water goblets available for your setup needs.

Observe Proper DRINk Decorum

A good rule of thumb is to make sure that every guest has a drink for every hour of the party, plus one extra in case they want more. Alternatively, you can have your event catered if your budget allows.

Tip #3: Music Sets the Stage

Most live musicians bring their own AV equipment…

…but you should consult with them (and your venue contact) to make sure the space has the correct wiring and connections for the DJ to set up. With streaming services offering a wide variety of easily accessible music, you might choose to make your smartphone the DJ. If you opt for your own playlist, make sure that you have the correct adaptors to stay charged and connected to your speakers.

Tip #4: Decorate & Delegate

Decorate the Tables, Chairs, and Room

Give yourself at least 3 hours before event start time to set the space up and for goodness sake – recruit some help!

Centerpieces: Mirrors, balloons, and confetti make simple customizable centerpieces, and most supplies can be found at the Dollar Tree. For a more elegant tone, swap out the balloons for flowers or candles.

Don’t forget the banner or other signage. Balloon arches are trendy right now and can help draw the focus to the featured part of the room you’re staging.

Delegate/ Hire a clean-up crew.
We can’t stress this enough – make sure you have help lined up after the music stops and the merriment is done. Organizing an event can be hard (and thankless) work and that’s never more palpable than when you’re cleaning up after everyone else has left.
(PPCC+SM can help you coordinate cleanup if necessary)

Tip #5:Enjoy Yourself, & Take Lots of Pictures!

“Don’t sweat the small stuff.”

Hiccups in the plan make for interesting stories and most people will not notice the behind the scenes hustling.

If you are the guest of honor, say the bride, delegate a “day of event planner” to be the point person for all vendors and guests so that you can enjoy your special day.

Take lots of pictures.
Hire a photographer or provide your guests with a memorable hashtag so that you can find all of your event photos online.
